The shows worth a stand in 2027 are the ones where your buyers already go to compare equipment. For most process equipment suppliers that means ACHEMA in Frankfurt from 14 to 18 June if you sell across Europe or worldwide [1], INTERPHEX in New York from 13 to 15 April if you sell into US pharma manufacturing [5], and CPHI Frankfurt from 9 to 11 November if your equipment sits inside the pharmaceutical supply chain [6]. The stand itself is the smaller decision. Whether the money comes back is decided in the two days after the show, when the badge scans are either worked or left in a spreadsheet.

Below: the 2027 calendar with every date checked on the organiser's own site, what a stand really costs once travel and staff time are counted, what buyers say they want from follow up, and a six step plan for turning a conversation at the stand into a request for quotation (RFQ).

Why this matters now

ACHEMA only runs every three years, so 2027 is the first chance since 2024 to put equipment in front of its audience. DECHEMA, the organiser, reported 2,842 exhibitors from 56 nations and 106,001 participants from 141 countries at the 2024 edition, with just under half of the participants travelling from outside Germany [1]. DECHEMA also says a third of those participants came from the pharmaceutical and life sciences industry [2]. There is no application deadline: offers go out in stages by date of receipt once the first instalment has arrived, with past participation and technical requirements also taken into account, so the better positions tend to go to suppliers who decide early [4].

Budgets are tighter than they were. An IAEE article from June 2026, citing the Center for Exhibition Industry Research (CEIR) report on how the exhibit dollar is spent, puts space rental at about 40 cents of every dollar an exhibitor spends, a share that has crept up, with travel inflation and show service costs squeezing the rest [14]. If you are spending five figures on one week in Frankfurt or New York, write the follow up plan before you book the stand.

The 2027 calendar, checked on the organiser sites

The shows a process equipment supplier is most likely to weigh up, in date order. Dates are as published by each organiser in October 2026 and may change, so confirm on the organiser's site before you commit. Attendance figures are the organisers' own. Booking status is what each site showed in October 2026; it changes too. Note that the INTERPHEX and BioProcess International sites still carried mostly 2026 content alongside the 2027 dates when we checked, and ISPE's exhibitor page for Prague showed a 2026 date next to the 2027 title, so treat those three as published but not yet fully updated.

Three things stand out. First, ACHEMA and CPHI and PMEC China overlap in the same June week, so a supplier with one demonstration unit and one sales team has to choose [1][8]. Second, there is no POWTECH in 2027: NürnbergMesse lists the next POWTECH TECHNOPHARM for 26 to 28 September 2028, so powder and bulk solids suppliers who rely on Nuremberg have a gap year and may want ACHEMA instead [13]. Third, ISPE had listed the 2027 Europe Annual Conference in Prague but not the 2027 Annual Meeting and Expo when we checked, so treat any dates you see elsewhere for that event as unconfirmed [11].

What a stand really costs

Organisers publish space rates; almost nothing else in the budget is published, so most of what follows is illustrative. ACHEMA is the most transparent. DECHEMA's 2027 rate card gives €378 per square metre for stands along hall walls and aisle stands with one open side on the outer gangways, €453.60 per square metre for other one side open stands, and €529.20 per square metre for stands with two or more open sides, all excluding VAT [3]. The minimum stand is 12 square metres, the first instalment of €94 per square metre is due on application, and the balance is paid in two further instalments [4]. Startups and academic institutions get a reduced rate of €239 per square metre [3]. So the smallest ACHEMA footprint costs €4,536 plus VAT before anything is built on it.

The CEIR figure that space is roughly 40% of spend is a useful sanity check, but it is an average across all exhibitors, and the costs the article lists around it are show services, design and graphics, shipping and staff travel; it says nothing about the salary cost of the people on the stand [14]. For a small supplier sending three people abroad for a week, the true cost usually has six parts:

  • Space rental, the only published number.
  • Stand build, graphics, furniture, power and internet, which the organisers group as show services and design.
  • Shipping the demonstration unit there and back, including any crate and customs paperwork.
  • Travel and hotels during show week, when city hotel rates peak.
  • Staff time: the days your engineers and sales people are not quoting, visiting or commissioning.
  • Follow up cost: the lead capture tool, the hours to qualify, and the budgetary quotes written afterwards.

The last item is the one that is most often left out, and it is the one that produces the return.

What buyers say they want after the show

Plenty of articles claim a precise conversion uplift from fast follow up. We could not trace those numbers to a trade show study with a published method, so we do not repeat them. What is verifiable is what buyers say. A 2019 survey commissioned by Cvent of more than 2,000 UK business executives who had attended a trade show or conference in the previous year found that 19% wanted to hear from an exhibitor within 24 hours of the event ending and a further 47% within a few days, while the event was still fresh [15]. Email was the preferred first contact for 42%, a further 22% wanted an email followed by a call, and 34% said the follow up that keeps them interested is one that shows the exhibitor remembered their business need [15]. On the negative side, pushy or hard sell tactics were among the top reasons respondents gave for not doing business with an exhibitor [15].

Read together, that says two thirds of buyers expect contact within days, they expect it by email, and they expect it to be about their problem rather than your brochure. A 48 hour target for your best leads is consistent with that evidence. It also says something about what happens between the stand and your email: the buyer looks you up. If your datasheets, certificates and product range are not findable online, the badge scan goes cold before you have written a word.

Six step trade show lead follow up plan from capture at the stand to a live profile between shows

The six steps in the diagram, in practice:

  1. Capture with context. Scan the badge, then write down three things while the buyer is still there: the process or product, the duty or size, and when the project is live. A scan with no notes is a name, not a lead.
  2. Grade the same evening. A for a live project with a budget and a date, B for a project within about twelve months, C for interest only. Ten minutes at the hotel beats a week of guessing later.
  3. Contact A leads within 48 hours. One short email from the person they spoke to, attaching the exact document they asked for and asking one question that moves the enquiry on. B leads get a shorter note the same week. C leads go on a mailing list only with their consent.
  4. Make your specifications findable. Product pages, datasheets, materials of construction and certificates where a buyer who searches your company name will find them. This is the step that turns a vague memory into a shortlist.
  5. Quote properly. When a buyer asks for numbers, send a budgetary quotation with its assumptions written down, then a firm quotation once the specification is fixed. Our guide to budgetary versus firm quotes explains the difference.
  6. Keep a profile live between shows. Buyers search for equipment in the months between shows, usually when a project lands. A current profile with your product listings is how the buyer who met you in June finds you in November.

Practical example

Take an illustrative UK valve maker, Illustrative Sanitary Valves Ltd, which makes diaphragm and hygienic valves for pharma and food plants and sells across Europe. Assume an average order of €15,000 at a 30% gross margin, so each won order contributes €4,500, and assume one in five qualified enquiries becomes an order within 18 months. On those assumptions a qualified enquiry is worth about €900. Every figure in this example is illustrative except the ACHEMA space rate.

The company is weighing a 12 square metre ACHEMA stand, the minimum size, against an 18 square metre stand at a two day UK national show.

Cost componentACHEMA, 12 m², five daysUK national show, 18 m², two days
Space rental€4,536 (12 m² at the published €378 rate, excluding VAT) [3]€5,400 (illustrative, €300 per m²)
Stand build, graphics, furniture, power€6,000 (illustrative shell scheme package)€3,500 (illustrative)
Shipping the demonstration skid€1,500 (illustrative)€400 (illustrative, own van)
Travel and hotels, three staff€8,100 (illustrative: six nights, Frankfurt in show week)€1,200 (illustrative: two nights, drive)
Staff time away, three staff€8,400 (illustrative: seven days at €400 per person per day)€3,600 (illustrative: three days)
Promotion and lead capture€1,500 (illustrative)€800 (illustrative)
Totalabout €30,000about €14,900

Break even at €900 per qualified enquiry is about 33 qualified enquiries for ACHEMA and about 17 for the national show. Per show day that is roughly seven qualified conversations a day in Frankfurt and eight or nine a day in Birmingham, so the daily workload on the stand is similar. The difference is the pool. ACHEMA's 106,001 participants, a third of them from pharma and life sciences, mean 33 qualified enquiries is about one in every 3,000 people in the halls [1][2]. At a national show with around 2,000 attendees, 17 qualified enquiries is nearer one in 120 [16]. The bigger show asks for the larger cheque but a much smaller share of its audience, which is why a small, well staffed stand with a specific product often does better at ACHEMA than a large stand at a general show.

Two cautions. The conversion assumption of one in five over 18 months means most of the cash arrives in 2028 and 2029, so the stand is a working capital decision as well as a marketing one. And none of the 33 enquiries count unless steps 1 to 3 of the plan above happen in the week after the show.

Be findable before, during and after the show

The cheapest part of the plan is step 6, and it is best done before the show rather than after. A verified company profile and detailed product listings on ChemCapital mean the buyer who scanned your badge can check your range, materials and certificates that evening, and buyers using AI supplier discovery can find and invite you to quote even if they never reached your stand. When an enquiry comes, it arrives as a structured RFQ with specifications, quantities, delivery requirements and a deadline, and you can submit a budgetary or firm quotation with line items, assumptions and attachments in one form, with a revision history as the specification firms up. Certification expiry alerts 30 days before a record lapses are a small thing that matters when pharma buyers ask for current certificates at the stand.

Creating a supplier profile and product listings is free. Ready to be found by the buyers already looking for what you make? List your company on ChemCapital. It is free to start.

Frequently asked questions

Is ACHEMA 2027 worth it for a small process equipment supplier?

Usually yes if your product is specific and your buyers are international, because the minimum 12 square metre stand costs €4,536 plus VAT in space and the audience was 106,001 participants in 2024, a third from pharma and life sciences. It is not worth it if nobody on the stand can talk specifications or if there is no plan to work the leads within 48 hours.

How soon should I follow up a trade show lead?

Aim for 48 hours for your best leads and the same week for the rest. A 2019 Cvent survey of more than 2,000 UK executives found 19% wanted contact within 24 hours and a further 47% within a few days, by email first and about their business need rather than a generic pitch.

Which 2027 trade show dates clash?

ACHEMA in Frankfurt runs 14 to 18 June 2027 and CPHI and PMEC China in Shanghai runs 16 to 18 June 2027, so one team cannot do both. There is also no POWTECH in 2027; the next POWTECH TECHNOPHARM is 26 to 28 September 2028.
